CONCESSION STAND IS FOR WORKERS ONLY.  BOARD MEMBERS, KIDS, ALIENS, AND PETS DO NOT BELONG AT ANY TIME FOR ANY REASON.  IF SOMEONE MUST HANDLE AN ISSUE IT NEEDS TO BE DONE OUTSIDE.

WORKER WILL RECEIVE A WATER OR POP PER SHIFT.  FOOD CAN BE PURCHASED PRIOR TO OR AFTER SHIFT IF THEY WOULD LIKE.

CELL PHONES ARE NOT PERMITTED WHILE WORKING.

Try to keep numbers where if a coach were to play children perfectly equal amounts of time, each child could play 3/4s of the game.

(Formula -11 players on the field times 4 quarters equals 44. Divide by the number of players for that team, lets say 15 which is 2.9 possible quarters per child - pretty close. This does NOT change the requirement to play a minimum of 1/2 of the game.

The underlined number would be the most ideal team size with the second number still being OK.

· Five Year Olds (6 players on the field) maximum players on the team = 8 to 9 players (range 3 to 2.6 quarters per child)

· Six/Seven Year Olds (9 players on the field) maximum players on the team = 12 to 13 players (range 3 to 2.7 quarters per child)

· Eight/Nine Year Olds (10 players on the field) maximum players on the team = 14 to 15 players (range 2.8 to 2.6 quarters per child)

· Ten/Eleven Year Olds (11 players on the field) maximum players on the team = 15 to 16 players (range 2.9 to 2.75 quarters per child)

· Twelve/Fourteen Year Olds (11 players on the field) maximum players on the team = 15 to 16 players (range 2.9 to 2.75 quarters per child)

We buy the max jerseys to fit these numbers and when teams are full we stop taking new sign-ups or keep a waiting list. Certainly the actual number of players signed up may force us to do something different but we should not go over the second number if possible.

USSA and other club organizations need to provide proof of insurance for liability issues regarding the use of the Dynamo Soccer Fields. This would include any other groups that ask to use dynamo fields as well. i.e.. ONU Soccer, Boy scouts etc.  Dynamo needs to set and notify clubs of  fees required to use Dynamo fields.

Dynamo Soccer Draft Process - 2010

The Dynamo Constitution mandates how children are assigned to teams.  This document details the steps used to assign children to teams in 2009.  The board decided to formalize this process for 2010.

1.      Coaching chair assigns coaches to teams, with input from the sponsor chair and registration chair where necessary.

2.      Sponsor chair assigns sponsors to teams, with input from the coaching chair and registration chair where necessary.

3.      Registration chair, sponsor chair and coaching chair validate that each child of a coach or sponsor is appropriately assigned to the correct team.

4.      Registration chair assigns each coach, sponsor and child to each team in League Works.

5.      Registration chair exports current team data to use at draft.  This data includes:

a.      The child’s gender

b.      The child’s age

c.       If the child played travel soccer as noted on the registration form

d.      Years of experience

e.      Any “play with” request or mandate – requests may be met, mandates such as siblings must be met

6.      Registration chair exports a list of non-assigned players to use at draft.  This data includes:

a.      The child’s gender

b.      The child’s age

c.       If the child played travel soccer as noted on the registration form

d.      Years of experience

e.      Any “play with” request or mandate – requests may be met, mandates such as siblings must be met.

7.      At the draft meeting, remaining children are assigned to teams as follows:

a.      All travel players on each team are counted along with their gender and age

b.      All non-assigned travel players are assigned to teams based on gender, age and experience, in an attempt to balance the number of each travel player gender.  For example, if there are ten teams, five teams having one pre-assigned 9-year old male travel player, and five teams without any travel players, we would first assign 9-year old male travel players to the teams without one until each team had one, or we ran out of 9-year old male travel players to assign.  We would then do the same thing for 9-year old female, 8-year old male, and 8-year old females.  If necessary, younger children playing up would come next.  In each case we would attempt to consider experience in addition to the other factors.

c.       All players on each team will then be recounted by age and gender

d.      We then assign children based on “play with” requests. 

                                                              i.      Players who desire to play with someone who we have already assigned to a team are assigned first

                                                            ii.      Players who desire to play with someone who has not been assigned are assigned next

                                                          iii.      Age, gender and experience are considered when assigning pairs

e.      Starting with the oldest male in the age group (by age, not birthday), we then assign one player to each team randomly in an effort to balance that age, gender and experience.  For example, assume there are 10 teams, and most teams have two 9-year old males, some have only one 9-year old male, and some have none.  We would then assign 9-year old males to the teams with none until each had one.  We would then assign them to teams with only one 9-year old male until every team has two.  At that point, we would count how many remain, determine how many each team should have, and then assign the remaining 9-year old males based on that quantity.  At each step we would attempt to consider experience in deciding which 9-year old to assign.

f.        Next we assign the oldest females using the same logic as in 7e.

g.      Next we assign the next oldest group of males using the same logic as in 7e.

h.      Next we assign the next oldest group of females using the same logic as in 7e.

i.        If necessary, younger children playing up would be assigned next, attempting to balance gender and age as necessary and possible.  Children playing up in an age group typically number very few and cannot be assigned perfectly equitable.

As an alternate to step 7, some age groups simply do not require the time and effort applied in the older groups.  In those cases, based on executive board instruction, those age groups may be assigned using steps 7a through 7d.  This would follow with steps 7e through 7i only as necessary to balance age and gender.  League Works does not consider the children who are already assigned to a team when the draft algorithm runs.  Therefore it is necessary to first balance each team.  Once that is done, the children can be placed on each team based on the draft meeting, and all remaining players can be assigned using League Works.

In return they will get their name and face out there.  They have their own personal/business liability insurance. ATI has submitted a bid for on site athletic trainer.  Their cost will be $750.00 and they will also pay to sponsor a team

They will be required to keep a log of injuries that will be available to Dynamo Soccer for review.

Bollinger provides all SAY members with Accidental Medical Insurance, featuring a $100 deductible and a $50,000 limit. This insurance will respond for medical costs incurred for injuries sustained while participating in any SAY sanctioned event. Even though you may already have adequate health insurance coverage, this policy offers additional accident coverage and is included in the membership fees.

GENERAL INSURANCE INFORMATION

As a benefit of membership, soccer players, coaches, officials and other registered members receive the protection of Bollinger's Soccer Insurance Program for their soccer activities.

Who is Covered?
Under the General Liability policy, the following are covered as Named Insureds: the Association and its member teams and leagues; all registered players and players participating in try-outs; all member coaches and officials; volunteers of the team or league and other participants affiliated with the Association.

The Accident Policy covers: all registered players and players participating in try-outs; member coaches and officials; volunteers and other participants directly affiliated with the Association. Covered Activities
Registered members and volunteers are covered when participating in the following covered activities:

  • Scheduled games, team practice sessions and sponsored activities, provided that they are under the direct supervision of a team official; or tournaments sanctioned by the Association, as a member of a contestant team.
  • Group travel directly to or from such scheduled practices, games or sponsored activities is covered under the Accident policy. The Liability policy provides Hired/Non-owned auto liability only for the official business of the Association.
  • No coverage is provided under the Liability policy for parents, coaches or volunteers using any automobile to transport team members or volunteers to any practice, game or activity.

The idea for the sponsor and coach verification meeting is to ensure sponsors get the coach they ask for [within the limits of the rules] and coaches get the partner they ask for [again within the limits of the rules] and that the correct children are with them. Pre-Draft - The policy limits two adults pre-assigned to a team if they bring children to that team regardless of if they are the coach, assistant coach or team sponsor. In essence a limit of two families pre-assigned to a team no matter how the combination is reached. In addition, there will be a limit of 4 players pre-selected per team. Sponsors may be pre-selected as long as they do not break the spirit of the rule described above. The Draft Chairman may also consider carpool or special same-team requests only if the players involved are part of the random draft and do not provide an obvious advantage or disadvantage to any particular team. Requests to consider variations of the Pre-Draft policy will be heard by a committee of the Draft Chairman, Coaches Coordinator and the President or his/her designee and will be agreed upon by a 2/3s committee vote

Coaches assigned to a team must have their children on team

Play with requests can be met, but should be randomly assigned to teams.
Typically any child who turns the age of the age group before October 1 is automatically approved to play up.  Any request beyond that should be brought up for board approval.

Assign only two coaches per team, all other coaching assignments will be a part of the random draft.

Dear Friendship Festival Chair,
I was not sure who to contact about the fireworks so I thought I would go straight to the chairperson of the Friendship Festival. I am representing Dynamo Soccer. Last year we had problems with the aftermath of the fireworks at the Dynamo Soccer fields. If the wind is blowing in the wrong direction the soccer fields end up littered with hundreds and hundreds of pieces of hard cardboard shrapnel. In recent years it has been cleaned up well.

We would also ask that the fireworks company enter the field area at the very end of the main parking lot and stay on the perimeter of the fields when driving heavy vehicles. We have installed a new underground sprinkler system and the heavy vehicles could damage the sprinkler heads if they get run over. They will also need to move parking barriers (railroad ties) to access the fields, could you please ask them to return the parking barriers to their original position when they are finished?

As fellow volunteers the Dynamo Soccer Board understands and greatly appreciates the hundreds of hours it takes to run a successful event like the Friendship Festival. We thank you in advance for any help you can give us in the matter above.

Old Mill Tournament: The Coaches Coordinator shall be responsible for enlisting coaches for the Dynamo Soccer Association’s participation in the Old Mill Soccer Invitational. When possible these coaching assignments will be made prior to the first Dynamo game so coaches can observe prospective player game performances throughout the season. Preference shall be given to interested and qualified current Dynamo Soccer Association coaches and assistants; when all head coaching positions cannot be filled, the Coaches Coordinator shall be allowed to seek interested and qualified current members from the Dynamo Soccer Association. Registration for Peotone players will need cover the entry fee.

OMSA - Registration needs to be completed on line by about 9/24.  Paperwork must be in their hands by 10/1. Elections will be held on Game Day 9 during the regular season. Ballots will be distributed through team mailboxes and a ballot box will be available in the concession stand. Voting members will be notified of the voting/nomination process by the weekly newsletter on both game days 6 and 7). This shall provide notice for three consecutive weeks prior to the vote. Nominations however are due the Tuesday after game 7 by 10:00 p.m. to the league President or Secretary. Slates will be included in the weekly newsletter of game 8 with official voting the following week of game 9. Completed ballots will be accepted only on the day of game 9. Voting will close 30 minutes after the last game of the day. Voting is to be conducted by secret ballot. To be elected, a simple majority of the votes cast is required.

NO ONE can turn in a ballot for another family and this should be stated on the ballot. For example a team parent should not collect ballots for the whole team and turn them in all at once. However note that each registered player shall be represented by one vote, per the constitution. So if a parent has four kids they get four votes.

Responsibilities for the board member on Old Mill teams.
Obtain a copy of rules from the Coaches’ Coordinator or the Old Mill website. Learn the rules and distribute a copy to the coaching staff. Remind coaches of the Dynamo goal that all athletes play in each game. Assist in the distribution of uniforms. Record what is given to whom. a) For 2009, we need:
i) Form 1096/1099 preparation in January (about $40), and
ii) Form 990/IL-990 preparation in May (about $400).
b) This will be provided by Legris and Associates at under $500,
thus does not require multiple bids
c) While the board will determine every year (at a November
meeting) whether our needs will change from those listed in
item (a) above,
d) We will not need to vote on the provider or seek new bids for
a three year period, provided:
i) our needs for services do not change, and
ii) Legris and Associates keeps the price under $ 500 for
preparation of both Form 990 and IL-990.
However, although the Board will not need to seek new bids for said
accounting services until November of 2011, it certainly may decide to do so, for whatever reason.

Fiscal Insurance Concepts in Bradley.  This independent insurance agent represents lots of companies, about 8 of which provide this type of commercial insurance.  Once again, they recommended Grinnell Mutual, who has held our policy for the last two years.  The price they quoted for next year is $696.  This is almost exactly the same as last year's premium.

KRK did a line repair for us this spring 2006.  He described to me that there had been previous work done on the line and / or it had been installed in a rather odd manner...  there is a restricting connector between two points on the line.  I don't recall the sizes.  It hasn't been a problem but if we ever needed a greater flow it could be in the future.
