Board of Directors Meeting Minutes
April 18, 2005 Noel LeVasseur School

Attendance: Dave Diveley, Ed Smith, Vernette Karnes, John Hall , Jeff Gindy , Mary Kyrouac, Mark Goldfain , Deb Laskey , Brent Mallek, Rhonda Harper , Greg Mattson, Donna Harris, Kim Butterfield, Scott Kyrouac, and Mike Patterson

Visitors: Kirk Malmer, Art’s Landscaping, Action Sports and Score representatives.

Dave called the meeting to order at 6:03 pm.

Dave welcomed and introduced visitors.  Kirk Malmer from United Select Soccer Association and a former Dynamo Soccer board member went over how we currently bill USSA.  Currently USSA pays for all mowings and paint used in the spring until June 1st.  They also pay for any mowings and paint used after the Dynamo tournament.  USSA also donates equipment every year.  Kirk also brought check from USSA for paint.

Art from Art’s Landscaping was at the meeting to answer any questions regarding the sprinkler system.  Art stated it is fully operational.  Greg will be in charge of controller.  Ed and Dave will also know how to work as back up.  Art confirmed that there is a 2-year warranty on materials and a 1-year warranty on labor.  Art will provide warranty details in writing.  Art will also provide cost for lock down boxes.

Don Robinson from Score and Donna from Action Sports gave overview of product line.  Don states that all uniforms from score are cut and sewn in USA.  See equipment report for additional.

Dave questioned if anyone had any changes to the previous meeting’s minutes.  None states.  Brent motioned to accept the minutes.  Donna seconded.  Passed.

Officer Reports:

            A.     President- Nothing to report.

B.     Vice President- Dave is working on signs for fields in regards to smoking and pets.  Dave is still working on insurance issue with IYSA.  The insurance will go up $1.00 per player.  He will check if we buy outside insurance can Dynamo still belong to IYSA?

C.   Secretary- Vernette states that registration days are set with volunteers except the 30th.  She requested that anyone available to help to please contact her.  Vernette handed out disclosure forms to board members present.

D.   Treasurer- Mark will have volunteer check and start up money for registration.  In the mail he has received sponsor forms, the tax-exempt letter and the food sanitation certificate.  The Treasurer report indicates balance of $34054.86.    Deb motioned to accept Treasurer report.  Dave seconded.  Passed.  Mark will be able to get debit card soon, but those who can sign on account could only use it.  Should check to see if Staples and GFS will set up accounts.  Dave will email Mark when ok to pay Art’s Landscaping.

E.   Parent Representative- Mary will bring team parent flier to registration.

Committee Reports:

A.   Fields and Grounds- Greg will meet with Art to learn how to operate controls of sprinkler system.  He will have video taped if possible.  Greg has bids to spray fields.  Art’s Landscaping bid is for $1100.00; Ron Paynes’ is for $990.00.  Greg motioned to accept Ron Paynes’ bid for $990.00.  Scott seconded.  Passed.  It was also questioned if the field should be rolled.  Greg will ask Ron Payne along with if sand should be spread to soften.

B.   Sponsors- Mike has list of sponsors.  Hidden Cove has asked if there is any additional help that we could provide for their new indoor league.  It was suggested that they could advertise with fliers that they would provide during the Dynamo season.  It was also questioned if we have any limitations on who can sponsor.  Dynamo does reserve the right to refuse any sponsor.  In the past we haven’t accepted bars/taverns. 

C.   Fundraising- Kim has 2 additional fundraising possibilities.  One is for gourmet coffee and one is for umbrellas.  We could sell both out of the concession stand.  Kim will follow up for specifics. 

D.   Concessions-  Nothing to report.

E.   Equipment- Dynamo can get the entire uniform for an additional $5.00 added to jersey cost.  The board discussed the advantages and disadvantages to Dynamo absorbing the cost.  It was determined that we could not raise registration as we have already publicized the cost.  Donna motioned that Dynamo purchase the entire uniform from Action Sports.  John seconded.  Dynamo will provide color-coordinated uniforms for the 12-14 division.  The younger division will receive the jersey with black socks and shorts.  Based on vote of jerseys and short styles Dynamo will utilize Poland for jersey style and Milan for short style.

Scott has sent out letters to those whose bids were not accepted.  He is also going to get trophy bids.

F.    Coaching- Nothing to report.

G.  Schedules- Nothing to report.

H.   Pictures- Donna has sent out bids.

I.      Building- Brent has new key for door 7 for everyone.  Also handed out sets to anyone who didn’t already have one.   Gave remaining sets to Vernette along with check out list and layout.  We need to have someone come out for pest control.  Brent will get quote.  The water needs to be turned on. 

J.     Draft- Deb will have tally at registration questioning how they found out about registration.  Deb also handed out a rough draft of possible code of conduct rules.  She asked that everyone look it over and advise her of any additions or corrections.

K.   Publicity- Ads have been placed and fliers went out.

L.    Referee in Chief-  John sent out letters to possible referees.  He has already heard from several.

M. Risk Management- Nothing to report

John is still working on sponsor/sign issue with county.

It was also suggested that Dynamo ask the high school to honor rules they have set.

New Business

It was suggested that Dynamo start collection of used soccer equipment that could be donated to players in need.  Vernette will add to newsletter.
