Board of Directors Meeting Minutes
July 6, 2004 at the Bourbonnais Public Library

Attendance: Dave Diveley, Ed Smith, Kelli Wadley, Vernette Karnes, MaryAnn Bicknell, Donna Harris, John Hall, Brian Rogers, Maureen Montgomery, Scott Kerouac, Bob Laskey, and Mike Patterson

Guests: Art from Art’s Landscaping.

Ed called the meeting to order at 6:32 pm.

Officer Reports:

A.   President- Nothing to report.

B.   Vice President- Nothing to report.

C.   Secretary- Nothing to report.

D.   Treasurer- The checking account has $75283.82 with plumbing bill and bill for stakes still outstanding.  Action sports needs 50% down for jerseys.  Total uniform cost $13,332.30.

E.   Parent Representative- Mary Ann and Maureen will meet to start scheduling concession stand.  She also suggested expanding the end of the year survey.  The survey will be tabled to later in the year.

Committee Reports:

A.   Fields and Grounds- Dave will get quotes on picnic tables for the pavilions.  The pavilions have been stripped and are ready to be painted.  Jeff Gindy will get the paint and equipment.  The ground needs to be leveled to the pavilion with dirt and grass seed put down.  Dave will check on this.  Kirk received bids on dumpsters.  Dynamo will go with the lowest bid from Kankakee Sanitary for a 4 yard dumpster that is $60.00 a month and includes locking system.  The porta potties will be delivered by July 19th.  There will be 3 porta potties from Blackmen at $260.00 a month.  Kirk motioned to accept bid from Ron Payne to spread the clover killer for $980.00.  Vernette seconded.  Passed.  Kirk received bids for gravel.  The bid from Dick’s Asphalt is for $1500.00, which includes breaking up current gravel, especially around holes before laying and flattening the gravel.  The bid from Steve Bissiallon is for $1200.00, which is for laying and flattening the gravel.  Kirk also received a bid for just the gravel, which would be $750.00 for 60 tons.  After discussion amongst the board members Kirk recommended that breaking up the gravel would help to prevent the current potholes from returning.  Kirk motioned to accept Dick’s Asphalt’s bid.  Donna seconded.  Passed.

Kirk motioned to accept the $25029.50 bid from Art’s landscaping pending the contract language.  John seconded.  Kirk will ask for a detailed description of bid with layout of fields.

B.   Sponsors- Currently have 58 sponsors.

C.   Fundraising- Nothing to report.

D.   Concessions- A cash register was purchased for $354.98.  Brian will advance Maureen $600.00 to stock the concession stand.  Maureen met with Sandy and Dave to go over the concessions.  Maureen suggested that a pretzel machine be purchased.  Kelly motioned to spend up to $500.00 for a pretzel machine.  Mary Ann seconded.  Passed.  Maureen will check on prices for nacho combos and a cheese dispenser.  Maureen received prices from Pepsi and Coke.  Pepsi is less expensive on pop, Maureen will check with GFS and other stores on cost of water and sports drinks.  Pepsi will supply us with 3 coolers and 2 pop machines with at least one with a soccer player on the front.  Maureen motioned to switch to Pepsi.  John seconded.  Passed.  Maureen will also see about menu boards and goalie boards from Pepsi.  Maureen is registered on 8/2 and 8/9 for the sanitation class.  The cost is $99.00.

E.   Equipment- Jerseys will be tentatively ready on July 27th.  Scot will get prices on spring flags to have an extra set.  There are enough game balls for 1 ½ sets.  Scott will get prices to buy enough to have 3 complete sets.  Scott will buy socks and shorts for the stock at the field.  Scott has a large selection of trophies.  The board narrowed the choices to 4.  Scott will bring back bids for the final 4 choices. 

F.    Coaching- Dynamo still needs 3 head coaches for the 5-year-old division and 3 head coaches for the 6-7 year old division.  The coaching clinic will be July 24th from 8:30 am to 10:30 am.

G.  Pictures/Schedules- Rough draft of schedules sent out via email to all board members and copies handed out at board meeting.  Vernette requested that everyone proofread the schedule for any errors.  She will make any corrections and will try to have the schedule ready by next week.

H.   Draft- 835 kids currently registered.  Kelly is still receiving calls daily to register.

I.      Publicity- Nothing to report.

J.     Referee in Chief- The referee clinics are scheduled for July 17 and 24, 2004.

K.   Risk Management- Ed verified that back ground checks do not need to be done on team parents.  We need to do checks on all coaches and assistant coaches.  Ed will check on prices from choice point to see what is included.  The cost will be $1.50 to $5.00 per check.  IYSA requires that a report be filed.
