Board of Directors Meeting Minutes
October 6th, 2003 at Dynamo Fields

Attendance:   Jeff Gindy, Vernette Karnes, Ed Smith,  Brian Rogers, Dave Diveley, Jeff Johnson, Donna Harris, Sandy Mullikin, Doug Wadley, and John Krincek

Ed called the meeting to order at 7:12 pm.

No changes to the September 22nd meeting minutes need to be made. Ed motioned to accept minutes and Dave seconded. Minutes accepted.

Officer Reports:

A.     President- Nothing to report.

B.     Vice President- Nothing to report.

C.      Secretary- Nothing to report.

D.      Treasurer- At this time there is a little over $24,000.00 in the account.  Brian needs the team parent list in order to distribute checks.  Dave will fax to Brian.

E.       Parent Representative- Nothing to report.

Committee Reports:

A.      Fields/Grounds- Fields need to be relined.  Ed will contact Kirk.  Jeff G. stated that the Gazebo is a go.  It will fit 2 picnic tables.  Thorne concrete will donate and pour concrete for the dumpster area, but we will need to dig the hole.   Jeff G. will check on concrete for Gazebo pad, and back room.

John will send note to USSA regarding use of fields, specifically dogs.

B.       Sponsors- Brian will hand out sponsor plaques.

C.      Fundraising- Fundraising profit is at $24000.00+.  Exact total after all checks in and returns.  80% has been collected.  Sandy and Dave will be at the tournament to collect outstanding.

Dave made a motion to give $50.00 to the highest selling team of each age group.  The $50.00 would go toward a team party.  A $50.00 Geoffrey gift card to the over all bestseller.   Ed seconded.  Pass.

D.      Concessions-  Sandy will hire people to work concessions for tournament.  She will hire up to 4 people at $7.00 an hour.

E.       Equipment-  Kirk picked up socks for the Old Mill tournament.  Brand new game balls will be used for the tournament.   Doug will go through uniforms for Old Mill.

F.       Coaching- Doug requested that the need for coaches for next year be added to the newsletter.

G.     Pictures- Remaining coaches plaques can be picked up on tournament day when equipment is turned in.

H.     Draft- nothing to report.

I.        Publicity- John will give his old mill practice schedule to Jeff to be posted on the internet.  Old mill teams being finalized and will be posted on the internet.

J.       Buildings- November 1st is the target date of shut down of water etc.  A clean up day is planned for this day.  Porta potty pick up date is November 7th.  Heat needs to be turned on and the building needs to be monitored over the off-season.

K.    Referee-   John made motion to pay referees to referee scrimmage games for old mill teams.  Ed seconded.

L.      Risk Management- No report.

Tickler File/Updates-  Add Geoffrey  Toys R Us $50.00 gift card to September.

Ed motioned to adjourn the meeting. Vernette seconded. Meeting adjourned at 8:24.
