Board of Directors Meeting Minutes
January 27, 2003 6:30pm at Barnes and Noble

  Attendance: Ed Smith, Julie Camp, Kirk Malmer, Brian Rogers, Dave Diveley, John Krincek, Jeff Johnson, Vernette Karnes, Kelli Wadley, Jeff Gindy, Kerry O’Connell, and Donna Harris
Guest: Tim Hendrickson
Ed called the meeting to order at 6:35pm.
Officer Reports:

A.     President-Ed received information from another picture company. It was given to Vernette for be reviewed.

B.     Vice President- Nothing to report.

C.     Treasurer- Nothing to report.

D.     Secretary-Kelli and Julie are to have notebooks ready for the next meeting. Next meeting dates tentatively 2/24/03, 3/24/03, and then to increase to every 2 weeks beginning in April.

E.      Parent Representative- Nothing to report.

Committee Reports:

A.     Fields/Grounds- Kirk received 2 bids for numbers on the field nets. They were from Action Sports for $12.00 and Randy Ruel for $8.00. Kelli suggested contacting the village for the numbers. Brian is able to donate the numbers if they are the right size. Kirk to meet with Brian.

-Arts Landscaping has been chosen to do the field maintenance.

B.     Sponsors- AM was to write off the bills discussed at the last meeting. They also were to pay the sponsoring fee due in December.

C.     Fundraising- Dave requested a $22.00 refund check for Wayne R.. Tammy to be notified. A coupon book from Nancy’s Pizza will be available for purchase at registration for $20.00. Dave brought a copy few review. Dynamo will make a $12.00 profit

D.     Concessions- Sandy not present. Kirk to give application for license to her.

E.      Equipment- Bid sheet samples made by Jeff and John reviewed. All agreed that the sheets should be made for the equipment used and sent out to the five companies interested: Action Sports, Extreme Sports, MC Sports, Salkelds, and Play It Again Sports. Jeff to put information on the website also. Onsite store available at registration to be reviewed at the next meeting.

F.      Coaching Coordinator- Doug not present however Kelli states that Doug would like another coach to step up and work with him for the season.

G.     Pictures- Vernette states Colonial Studios requested to bid for pictures. A discussion took place about allowing bids for pictures. Everyone seems satisfied with VIP who has been taking the pictures. Picture date discussed with first choice of August 23, 2003 and second choice of August 16, 2003 made. Vernette to send out letter of bid proposals to those interested.

H.     Draft- Kelli states that all is going well. She was informed that duplicate medical forms will be needed this year as per IYSA. Minuteman to print the flyers again this year. Donna is able to print the flyers for schools for free. Reminder postcards to be mailed again this year. Dates for registration discussed: April 25 from 6p-9p, April 26 from 9a-2p, and May 2 from 6p-9p, and May 3 from 9a-2p, with late registration on May 31 from 10a-2p with a $25 late fee required.

I.        Publicity- Jeff gave Ed a letter in regards to risk management. Jeff completed the Bourbonnais Park District Affiliate letter and the copy with given to Julie.

-Jeff suggested paying $71.95 for the web site fees. Ed motioned. Vernette seconded. Motion carried.

- Jeff suggested purchasing the Dynamosoccer.org web name for 5 years costing $95.00. John motioned. Vernette seconded. Motion carried.

J.       Referee- Kerry mailed a questionnaire to other soccer organizations in the  

State.  Nine were returned. Kerry explained what information was obtained from these forms. Kerry suggests changing the pay scale for referees and written recommendation will be brought to the next meeting. Tim is to assist Kerry with the referees this season.

K.    Risk Management- Nothing to report.

L.      Tickler File/Updates-The following to be discussed:

·        Registration fee same as last year

·        Updated notebooks to be given

·        Long term goals for the next years—ideas to be brought for long term projects to the next meeting

Old Business

A.     Old Mill Tournament guidelines for coaching discussed again. Ed suggested having one coach of each team being a board member.

B.     The history of Dynamo to be added to the website by Jeff.

Meeting was adjourned at 8:35pm.
