Board of Directors Meeting Minutes

March 17, 2002 at Barnes and Noble, 3:00 p.m.

Attendance: Kirk Malmer, Tammy Malmer, Dave Diveley, Jeff Johnson, Doug Wadley, Kelli Wadley, Marla Krutsinger, Ed Smith, Kerry O’Connell, and Jeff Gindy

The meeting was called to order at 3:08 p.m. by Ed Smith.

New Business:

-The current status of the Dynamo Board was discussed. Voting was held to finalize board positions for the upcoming year. Committee appointments were finalized.

-Jeff Gindy made a motion to remove Tim Farrell as President of the B.D.S.A., Kirk Malmer seconded. Motion carried.

-Dave Diveley made a motion to name Ed Smith President of B.D.S.A., Kerry O’Connell seconded. Motion carried.

-Jeff Gindy made a motion to name Doug Wadley as Vice-President of the B.D.S.A., Ed Smith seconded. Motion carried.

-Officers for the coming year will be:

Secretary- Kelli Wadley

Treasurer- Tammy Malmer

-Ed will contact Dennis Baron about handling our Risk Management once again

Committee Reports:

Grounds—Kirk has diagrammed field set up for the coming season. USSA has donated a 3’ by 4’ plexiglass case to Dynamo in exchange for the use of the fields.

-Kirk will be checking with the Park District to see if they plan to use our fields for their spring soccer. In the past they have paid for the spring mowing; if they do not use the fields the USSA will be responsible for paying since they will be the only group using the field. Use of the complex and maintenance costs for the Fall were discussed.

-Kelli made a motion that the maintenance costs in the spring be divided among the groups using the fields and in the Fall costs be paid by Dynamo until our season is done. After our season concludes maintenance will be divided among those groups utilizing the complex. Tammy seconded. Motion carried.

Equipment— Kirk has a price for $11.35/shirt from Action Sports for the same jersey we’ve used the past 2 seasons. For $11.85 we can go to a new style which provides more colors and will cover our large age groups. No decision necessary at this time.

-Kirk will also need to order paint.

Coaches—Roster size was discussed. Brainstorm ideas for a different set-up for the clinic; Doug would like to try something new. Also need to consider a rule for teams who are short players. Dave Diveley shared a book “Ultimate Handbook for the Soccer Family” which could be made available to coaches and players.

Registration—Registration is scheduled for April 26/27 and May 3/4 at Shabbona. Kelli will pass around a sign up sheet at the next meeting to be sure all slots are covered. Kelli will design postcards and check for prices. We will ask all people to complete a new registration form.

Publicity—Website has been upgraded. Jeff submitted a bill for $64.90. We will not be using radio ads this year. Print ads will run in the Journal in April 14, 21, 28. The Herald ads will run on 4/17, 4/24, and 5/1.

-Jeff will also check into cost of an insert in the County Market.

-Jeff will also make flyer for distribution at the schools.

Sponsors— Board members will be in search of a person to fill this position.

Fundraising—We can sell candy bars at registration and have no obligation beyond that. We keep 50% of the profit. Dave will contact the Nestle Co. to firm up arrangements. Dave will also man a station at registration to sell the Soccer Handbook discussed previously. Dynamo will keep $2.75/book. Our main fundraiser will remain the same and follow the same schedule.

Concessions—Nothing to report.

Team Parents—Nothing to report.

Referees—Kerry will hold 2 referee clinics. Anyone wanting to referee Dynamo must attend one. Clinics will be 2 hours in length and held at the field on 7/27 and 8/3. Kerry, Jim Horton and John Wieliczko will set the schedule.

-Ed made a motion that Dynamo set a policy that all referees must attend one of our clinics. Tammy seconded. Motion passed.

-Kerry is also working on gathering information to submit an Illinois First Grant. Work will be done only if funds are received. He is submitting for parking lot paving, filed irrigation for the HS and JV fields, gravel or concrete for the back part of the building, and lights for 4 fields (HS, JV, 12-14, and 10-11). He is submitting it through Senators Walsh and Helgerson.

Pictures—VIP was recommended. Jeff will contact them about available dates and some of our concerns.

Building—Nothing at this time.

Officer Reports:

Treasurer-Account balances report filed. All bills are paid except $13,398.98 to Anderson Mechanical.

-Jeff G. made a motion to increase fees to $40 for registration and $15 for volunteer fee. Dave seconded. Motion carried.

-Tammy made a motion to increase the sponsorship fee to $250. Ed seconded. Motion passed.

-Kelli made a motion to increase the late registration fee to $25. Tammy seconded. Motion carried.

-Jeff J. asked Tammy to draw up a basic income/expense sheet so we know where we stand each year without the fundraiser.

-Tammy will get new signature cards at the bank and change our paperwork over to the new officers.
